As the Executive Assistant to the CEO/COO, your mission is to seamlessly orchestrate the intricate balance between their professional and personal lives. Serving as their invaluable right-hand person, you will play a pivotal role in optimizing their efficiency, enabling them to focus on strategic initiatives and critical decision-making. In a fast-paced environment where both executives are constantly on the move, your exceptional organizational skills and proactive approach will guarantee seamless coordination of schedules, travel, and communications for both executives, contributing to the overall success of the leadership team and fostering a collaborative work environment. Your Responsibilities Include Travel Coordination: Plan and organize executive travel, including flights, accommodations, and documentation. Calendar Management: Coordinate and manage the executive''s schedule, accounting for time zones and travel. Personal Appointments and Projects: Manage personal appointments and assist with various personal projects for the executives. Email Management: Handle and organize email correspondence, ensuring timely responses and efficient communication. Communication Management: Act as a liaison, managing emails, calls, and messages while prioritizing urgent matters. Document Management: Organize and maintain essential documents, handling sensitive information with confidentiality. Expense Management: Track and manage personal and professional expenses, ensuring accurate documentation. Personal Shopping and Errands: Assist with personal shopping, gift procurement, and day-to-day tasks. Tech Support: Provide technical support for devices and communication tools during travel, troubleshooting issues. Emergency Preparedness: Develop and maintain emergency protocols, staying informed about the executive''s location and safety concerns. Event Planning: Organize personal events, gatherings, or celebrations, both family-related and professional. Specifics Time: Full Time, PST Time zone Be available during business hours to communicate responsively with your direct supervisor and teammates This is a remote position so you can have the freedom to work from anywhere Salary: $9,000-$12,000/year Qualifications Excellent communication skills in English, both written and oral. Proven experience as an Executive Assistant or in a similar role supporting C-level executives. Exceptional organizational and time-management skills. Proficiency in using office software and communication tools. Flexibility to adapt to changing priorities, travel schedules, and unexpected challenges with a proactive and solution-oriented approach. Strong problem-solving capabilities, anticipating potential issues and providing effective solutions. Meticulous attention to detail to ensure accuracy in travel arrangements, scheduling, and documentation. A proactive mindset with the ability to take initiative, anticipate needs, and act autonomously when required.
